The Oregon Trail Chapter of the AMCA, hereafter OTC, respects and protects your privacy. This policy describes OTC's
information collection and sharing practices.
We recognize the importance of protecting OTC member's personal information. We believe that all information you provide
to us through any channel constitutes personal information. This includes: information you provide on a membership application,
your event registration, your membership status, information stored in cookies, and any information
from your interactions on the OTC Forum.
When you engage in certain activities on our site, such as membership application or renewal, event registration, contacting us using
the online form, or other online service, OTC may ask you to provide certain information about yourself by filling out and submitting an
online form. It is completely optional for you to engage in these activities. OTC has provided mail-in forms so you may complete
these transactions without providing your personal information to us through an online application.
1. Collection of Personal Information When you apply for
membership, contact us with an inquiry, or register for an event, we collect and retain personal information to process your
request. We collect and retain your information such as name, email and postal addresses, and your AMCA number in the context of the
form used to collect the information. When you register to our Forum or other online service, our data system records certain information,
including public posts to the Forum, user preferences, and information necessary to identify you to the data system such as,
IP Address, email address, and user name. This data enables us to process and retain your online identity. When you send us email, we
retain the content of the email, your email address, and our response in order to handle any follow up questions you may have. We
also use information collected through forms to maintain our membership roster and provide annual notification of pending dues.
2. Use and Sharing of Personal Information In order
to provide services to you, we share certain information about you with the National AMCA. However, we limit any information
sharing to the extent necessary to adhere to our Chapter Charter, satisfy requirements for event insurance, and confirm your
membership. Information we may have about former members is not disclosed.
3. Sharing Information within the Club
We share the following information with Club officers so they can serve you efficiently:
- Member information such as name, email and postal address, and phone number
- Current membership status
- Attendence status for events
4. Sharing Information with Third Parties
To conduct OTC operations, we need to share information with our service providers. OTC's service providers include: insurance
companies, event hosts, and government agencies. Typically, information shared with these parties does not include an individual member's
personal information.
Oregon Trail Chapter does not sell or share any member information with nonaffiliated third parties.
5. Sharing Information as Legally Required
We may share any nonpublic personal information of yours in response to a lawful request issued by a court, government agency, or
regulatory authority or as permitted by law in order to administer your membership.
6. Accuracy of Personal Information We will exercise reasonable
procedures in order to assure the accuracy of our records and your personal information. Inaccurate information, when brought to
our attention, is corrected as promptly as possible. If you have any questions regarding the accuracy of your personal information,
contact us. We will investigate your issue and update your information as needed. We request that you keep your personal information as
current as possible to get the maximum benefit from the club. In particular, please make sure that you inform us of your
email or postal address changes so we can communicate with you.
7. Protection of Personal Information Protecting your
privacy is an ongoing process. We restrict access to your personal information to only those members who need to know that
information to provide services to you. We will continue to review the measures we take to safeguard your personal information.
These reviews will result in new measures to protect member records, as we make changes to our information security practices and
other internal control systems to take advantage of new technology.
8. Privacy Related Complaints If you believe that OTC
has not complied with this Privacy Policy with respect to your personal information, contact us. Please describe in your letter
in as much detail as possible the ways you believe that the policy has not been complied with. We will investigate each issue promptly.
9. Notification of Changes If we decide to change our privacy policy,
we will post those changes on this website so you are aware of what information we collect, how we use it, and under what circumstances,
if any, we disclose it. If at any point we decide to use personally identifiable information in a manner different from that stated at the
time it was collected, we will notify you. You will have a choice as to whether or not we use your information in this different manner.
We will use your information in accordance with the privacy policy under which the information was collected.
10. Use of Cookies When you visit our web site,
you can surf the public portions of the site anonymously. In order to provide you with extended online services like the Forum, Chat and
Calendar, we use browser cookies to establish and retain your online identity and presence during your browsing session. Our web server
automatically logs the IP/Internet address of your computer. The cookies will not request, require, or collect personal identifying information
beyond that provided by you when you registered for the online service. No personally identifiable information is tracked.
Cookies are also used by OTC to secure your login session. The secure cookie may contain a globally unique identifier (GUID).
This is a memory only cookie, which means that when you close the browser, the cookie is deleted. These cookies are
time sensitive and expire after a period of time. Once expired, the secure cookie is no longer usable. This is designed to increase
your security while using some OTC web applications.
11. Links This web site contains links to other sites. OTC is not responsible for the privacy
practices of other sites. We encourage you to be aware when you leave our site and to read the privacy statements of every web
site that collects personally identifiable information. This privacy statement applies solely to information collected by OTC on
this web site. The Club Store link from our site takes you off the OTC site to a the Cafe Press site. The Membership and Registration
forms link to the PayPal site. Any information you provide is collected by these service providers for their purposes and you are encouraged
to read the privacy statement of that provider.
12. Third Party Marketers OTC does not sell or share your information
with outside third party marketers. However, as described in this policy, we may share your information with OTC officers,
other OTC members, or the National AMCA as necessary to successfully operate the club or stage sanctioned club events.
13. Email Subscriptions OTC operates an email distribution list (otc.members) for the
exclusive use of OTC members. OTC has an opt-in electronic communication (email) policy. That means OTC will not add your email
address to this distribution list unless you request that we do. Currently, you opt-in to this list when you do one
or more of the following:
- Contact the Club Secretary and request that your email address be added to the list or,
- Check the Newsletter by Email box on the Membership Form when you renew or,
- Complete the
Your opt-in choice remains in effect until you notify us otherwise. Please note that this opt-in
policy only applies to our OTC Members distribution list. We may still send you important information about events, club benefits,
service updates, or other required information by email. If you have not opted-in to receiving OTC communications by email and
believe that you have received one in error, notify the Club Secretary immediately.
The Newsletter distribution list includes recipients outside the OTC membership roster and is managed separately. Contact
the Club Editor to request changes in Chapter Newsletter delivery.
